Submitting Your Availability

Availability requests should be submitted as soon as possible for our Human Resources Director to review for approval.

If you are a student, be sure to submit new availability each semester or winter/summer break.

Steps

  1. Open Hotschedules

  2. Go to the menu at the top left corner

  3. Click “My Availability”

  4. Click “+”

  5. Select what day your availability will need to start.

  6. Select each day of the week and whether or not you will be available.

    • If you are available for the entirety of that day, select “Available”

    • If you are available for part of the day, select “Partially Available,” and then select what time you are available.

    • If you are unavailable that day, select '“Unavailable”

  7. Click “Save” in the top right corner.

  8. Type your “Reason For Change.”

  9. Click “Submit.”

Reminders

  • You must have an open availability on Saturdays. Saturdays are one of our busiest days of the week, so we need all hands on deck. That doesn’t mean that you have to work every Saturday.

  • You must have some availability on Fridays because it is also one of our busiest days of the week.

  • Any availability request with either Fridays or Saturdays unavailable will be denied. This doesn’t mean that you have to work every Friday and Saturday, this is where ask off requests come in.

Ask Off Requests

Ask off requests should be submitted as soon as possible for our Human Resources Director to review for approval. Requests should be put in two weeks before the date that you would like to be off.

When asking off, be sure to keep in mind that we need all hands on deck for local events such as high school and college football gamedays.

Steps

  1. Open Hotschedules.

  2. Go to the menu at the top left corner.

  3. Select “Time Off & Requests”

  4. Click “+” at the bottom right corner.

  5. Select “Time Off Needed.”

  6. Select the date.

    • If you need to be off all day, leave “All Day On” as is.

    • If you do not need the entire day off, turn “All Day On” off, then select the time that you need off for that day.

  7. Enter the reason that you need off in the comment section.

  8. Click “Done” in the top right corner.

Releasing a Shift

For whatever reason, you may need to release a shift. If you release a shift and someone picks it up, our HR Director will review the pickup for approval. If he does not approve the pick up, you will be responsible for working your shift.

If there is not enough time for our HR Director to approve the pickup, you may ask the appropriate Shift Leader for approval.

Steps

  1. Open HotSchedules.

  2. Click on the shift you would like to release.

  3. Press “Release.”

  4. Select the reason for releasing your shift.

  5. You will receive an email if/when an employee picks up your shift.

  6. You will receive an email if our HR Director approves/denies the pickup.
